How to Plan a UniFi WiFi Deployment for an Office

A reliable business WiFi deployment starts with good planning. This guide walks through the key steps for deploying Ubiquiti UniFi WiFi in an office environment.

Step 1: Assess Your Space and Requirements

Start by understanding the physical layout of your office. Consider the square footage, number of floors, wall construction materials, and the approximate number of devices that will connect. Concrete walls, metal studs, and glass partitions all affect WiFi signal propagation.

Step 2: Plan Access Point Placement

As a general rule, one UniFi access point covers approximately 1,500 to 2,000 square feet in a typical office. Mount APs on the ceiling for the best coverage pattern. Avoid placing them in corners or behind obstructions. For multi-floor offices, plan at least one AP per floor area.

Step 3: Design Your Network VLANs

Create separate VLANs for different traffic types. A typical office setup includes a corporate VLAN for employees, a guest VLAN for visitors, a VoIP VLAN if you use WiFi phones, and an IoT VLAN for printers, cameras, and smart devices. UniFi makes VLAN configuration straightforward through the controller.

Step 4: Configure Guest WiFi

Set up a dedicated guest network on its own VLAN with bandwidth limits and client isolation. UniFi supports guest portals with terms acceptance, time-limited access, and voucher-based authentication for more controlled environments.

Step 5: Enable Fast Roaming

For offices where people move between areas (meeting rooms, desks, common areas), enable fast BSS transition (802.11r) on your UniFi APs. This ensures seamless handoff between access points without dropping VoIP calls or video conferences.

Step 6: Plan the Cabling

Each access point needs a Cat6 Ethernet cable run to a PoE switch. Plan your structured cabling before installation to minimize disruption. Use a PoE switch that provides sufficient power for all your APs.

Step 7: Set Up the UniFi Controller

Deploy the UniFi Network controller on a local device (Dream Machine, Cloud Key) or in the cloud. The controller manages all your APs, switches, and gateway from a single interface and provides traffic analytics, client insights, and alerts.

Step 8: Test and Optimize

After deployment, test WiFi coverage throughout the office. Check for dead zones, slow areas, and channel interference. Adjust AP power levels and channel assignments as needed. UniFi's built-in tools help identify issues quickly.
